About The Position:

The Talent Booking Assistant will report directly to the Senior Director of Talent + Influencer Booking for all client-specific support and project work, as well as SP system and database management, deployment of invites, and contact upkeep.

  • Eager and determined to become proficient in Slack, Airtable, Zkipster, Adobe, Teams, Google, and Word applications 

  • Professional, with a confident and mature demeanor as well as an understanding of the importance of maintaining confidentiality with high-profile clients

  • A polished writer and proofreader with exceptional interpersonal, organizational, written, and verbal communications skills

  • Able to brainstorm and contribute creative ideas where talent and influencers are concerned 

  • Discreet and able to appropriately handle sensitive and personal information about clients and talent, as well as comfortable handling top-tier talent with ease and discretion

  • Available to work from our NYC office two days a week (work from home flexibility for the other three days)

  • Able to have a flexible schedule, knowing you will need to work earlier or later than the standard 9-5pm and work events as needed on nights and weekends

  • Able to travel for various events

Specific Responsibilities Include: 

  • Supporting the SP client team in foundational brainstorming for guest lists and talent integration for client events and partnerships, as well as organizing and adding supplementary information, contact info + social metrics for those lists, ensuring proper cataloging of that information and brainstorming for future use

  • Regularly updating and maintaining client trackers, internal databases, and status documents - with a meticulous eye for duplicates, spelling, proper categorization, color coding, and formatting needs, especially as it relates to drafting RSVP updates when needed

  • Helping manage the invitation and RSVP tracking software and systems for events, as well as assisting other members of the SP team in organizing social recap decks, sending photo links, and tagging information and other post-event correspondence

  • Support on any event production needs in terms of coordinating with vendors, tracking invoices, and booking glam/cars, assisting with seating board prep, facilitating rehearsals and walkthroughs, and liaising with other client stakeholders

  • Creating and consolidating team ideas and information shared across various platforms into cohesive and organized company-wide documents and resources

  • Researching, developing, and helping implement new softwares and systems to help SP save time, become more efficient, and strengthen the overall organizational units in place at the company

  • Handling any additional live event support and on-site check-in for various high-profile client events as needed

  • Helping build talent pitch decks for ad campaigns and casting opportunities

  • Assisting in basic design tasks such as bar menus and name tags for events, invitations, or miscellaneous social media assets

  • Handling talent travel logistics and updating talent itineraries as needed for various clients

  • Helping manage and facilitate Special Projects’ social media presence by drafting posts, gathering photo assets, tagging appropriately, and posting in a timely manner under supervision by the Senior Director of Talent and Influencer Booking

  • Supporting the NYC team as needed on all other matters relating to in-person event logistics and coordination, and maintenance of the NY office
